REFUND & PARTICIPATION POLICY

  1. General Policy

Africa-Canada Impact Exchange Inc. (ACIE) organizes international programs that require advance commitments, including logistics, venue reservations, and third-party coordination.
As such, all payments are subject to the refund conditions outlined below.

  1. Multi-Component Service Structure

ACIE programs may include:

  • Registration and administrative services
  • Immigration and visa processing coordination
  • Accommodation and logistics
  • Transportation and tourism services

Each component is subject to its own refund conditions.

  1. Non-Refundable Components
  2. Registration & Administrative Fees

Registration and administrative fees are generally non-refundable once payment has been processed, as they cover:

  • Event planning
  • Venue commitments
  • Operational and administrative costs
  1. Immigration & Visa Processing

Where applicable:

  • Immigration services are provided by licensed professionals through ACIE partners
  • These services are governed by separate agreements

Immigration-related fees are non-refundable once processing has commenced

4.Third-Party Services (Conditional Refunds)

Certain services are provided by independent partners, including:

  • Accommodation
  • Transportation
  • Tourism and destination experiences

Refunds (if any):

  • Are subject to the policies of the respective providers
  • May be partial or unavailable depending on timing

ACIE is not responsible for third-party refund decisions.

  1. Visa Refusal Policy

Visa refusal or delay does not constitute grounds for a refund of:

  • Registration fees
  • Immigration-related fees

However, documented visa refusals may be considered for event credit at ACIE’s discretion.

  1. No Partial Refund Policy

Programs may be sold as bundled services.

No partial refunds will be issued for:

  • Unused services
  • Missed attendance
  • Visa refusal
  • Travel disruptions

Except where required by applicable law or expressly approved by ACIE.

  1. Service Initiation Clause

Once any service component has been:

  • Initiated
  • Confirmed
  • Reserved
  • Booked
  • Processed

That portion becomes non-refundable

  1. Event Credit Policy

Participants may request event credit:

  • Requests must be submitted in writing
  • Subject to ACIE review and approval

  1. Event Changes

Adjustments to program structure, speakers, or logistics do not constitute grounds for refund.

  1. Event Cancellation by ACIE

If ACIE cancels a program, participants will be offered:

  • A full refund, OR
  • Credit toward a future program
  1. Force Majeure

ACIE is not liable for disruptions caused by:

  • Government restrictions
  • Travel bans
  • Public health events
  • Natural disasters
  1. Travel Insurance

Participants are strongly advised to obtain travel insurance to cover:

  • Visa refusal
  • Travel disruptions
  • Personal contingencies
